# IT hardware, software & licences tenders and contracts across Canada

Every public body buys laptops, servers, switches, licences and meeting room equipment. Large buyers mostly use government-wide supply arrangements, but municipalities, school districts and smaller agencies still post tenders for refresh programs, network upgrades and audio-visual installs.

## Who buys IT products?

- **School districts**, for student devices, classroom AV and network upgrades.
- **Municipalities and regional districts**, for computer refreshes, networking and council chamber AV.
- **Health authorities, colleges and universities**, for large volumes, often through group buying.
- **Federal and provincial buyers**, mostly through standing offers and supply arrangements.

## What does the work include?

Tenders list quantities and minimum specifications, delivery and imaging requirements, warranty terms, asset tagging, disposal of old equipment and sometimes installation. Networking and AV tenders often include design, installation, configuration and training. Software tenders cover licences, renewals and support.

## How is it priced?

Usually unit prices per item with delivery, warranty and services priced separately. The lowest compliant price often wins for plain hardware, while AV and networking projects may be scored on design and experience as well. Some tenders ask for prices to stay fixed for a period, so watch exchange rates and supplier price changes.

## When do these tenders come out?

Device refreshes follow budget years. School districts often buy in spring so devices can be set up over the summer, and many public bodies spend remaining budget before their fiscal year ends, which for BC government is March 31 and for most municipalities is December 31. AV work for council chambers and meeting rooms tends to follow renovation schedules.

## What do you need to bid?

Expect proof you're an authorized reseller for the brands you offer, manufacturer warranty details, references, delivery times and a plan for secure disposal of old devices. Group-buying contracts and supply arrangements may require you to serve buyers across a whole province.
